What is a VirtualMed Helper VA?
A VirtualMed Helper is a trained or experienced healthcare administrative professional supporting medical practices in the U.S. and Australia with bookings/scheduling, patient and insurer communications, billing support, medical records, and general administrative tasks.
Are your Virtual Assistants compliant with healthcare privacy laws?
Yes. All VirtualMed Helpers VAs are trained in healthcare data privacy and security requirements, including HIPAA (United States) and the Australian Privacy Principles (APPs). They are trained to handle sensitive patient information securely and in accordance with local regulations.
For U.S. clients, we can also execute a Business Associate Agreement (BAA) when required.
What are your rates and billing terms?
Our standard rate is USD $10.50 per hour, billed in advance on a bi-weekly schedule
VAs are paid USD $7/hour
Agency administrative & compliance support: USD $3.50/hour

How are VAs assigned to my practice?
We can:

Provide a short list (up to 3 candidates) for you to interview and select.
We ensure they are qualified, trained, and ready for your workflow.
Do I need to provide special software or tools?
Most clients provide:
Access to scheduling or EHR/Practice Management software
Email and communication tools
For secure access, you may use remote desktop tools (AnyDesk, TeamViewer) or cloud-based systems.
Can my VA answer phone calls from my office number?
Yes. We recommend cloud-based phone systems (VoIP), which allow your VA to use your clinic’s phone number while working remotely. This ensures calls appear as coming from your clinic.
Are your VAs exclusive to my clinic?
Yes. Full-time VAs assigned to your account work exclusively for you, ensuring focused attention and confidentiality. Direct hiring outside the agency is not allowed and considered a breach of our agreement.
What if the VA isn’t a good fit?
If a VA is not meeting expectations, we provide one replacement at no additional cost, subject to availability. We aim for smooth transitions and continuity of service.
How do I terminate or change the VA?
A 14-day notice is required by either party.
Immediate termination is possible for non-payment, confidentiality breaches, or unprofessional conduct.
We will coordinate replacements or adjustments as needed.
How is my data protected?
All VAs are trained in either HIPAA standards or Australian Privacy Principles (APPs)
Secure data transfer methods are used
PHI access is limited to authorized tasks
Any data breach is addressed immediately
Can I pay overtime or bonuses?
Yes. You may grant overtime, bonuses, or additional benefits to your VA. We can process these payments through the agency for convenience. Overtime must be approved and tracked.
